  • Understand Your Event: We want to hear all about it – the type of event (conference, gala, launch, festival etc.), date, location, schedule, and key activities.  

  • Discuss Your Vision & Goals: What's the purpose of the video? Are you looking for a highlight reel, full recordings, social media clips, attendee testimonials, or something else? What feeling do you want to capture?  

  • Answer Your Questions: This is your chance to ask us anything about our services, process, or experience.

Step 2: Clear Proposal & Booking

Based on our initial chat, we'll provide you with a clear, customised proposal outlining:

  • Scope of Work: Exactly what services we'll provide (e.g., hours of coverage, number of videographers).

  • Deliverables: The specific video outputs you'll receive (e.g., one 3-minute highlight reel, full keynote recordings).  

  • Investment: A detailed breakdown of the costs involved, with no hidden surprises.  

  • Timeline: Estimated delivery timeframes for your final videos.

If you're happy to proceed, we'll send over an agreement and request a deposit to officially secure your date in our calendar.  

Step 3: Planning for Success – Pre-Production

Once booked, we move into the planning phase. Depending on the complexity of your event, this might involve:

  • Logistics Coordination: Confirming schedules, venue access, and any specific requirements.  

  • Key Moment Identification: Collaborating with you (and your event planner, if applicable) to identify crucial moments, speakers, or activities that absolutely must be captured.  

  • Shot List (Optional): For certain events, we might develop a basic shot list to ensure comprehensive coverage, while always remaining flexible to capture spontaneous moments.  

  • Technical Prep: Ensuring we have the right gear (cameras, lighting, audio equipment) prepared for your specific venue and event type.  

Our aim is to be fully prepared so that on the day, we integrate seamlessly into your event.  

Step 4: Capturing Your Event – The Filming Day

This is where the magic happens! Our professional and friendly crew will:

  • Arrive On Time & Prepared: Ready to capture your event according to the plan.  

  • Film Key Moments & Atmosphere: We focus on capturing not just what happens, but the energy, emotion, and unique spirit of your event. This includes keynote speakers, presentations, performances, audience reactions, networking, and candid moments.  

  • Use Professional Equipment: Utilising high-quality cameras, audio gear to ensure clear sound, and appropriate lighting to deliver polished, cinematic visuals.  

  • Be Discreet & Professional: We aim to be unobtrusive while ensuring we get the shots needed, allowing you and your guests to enjoy the event.

Step 5: Bringing it to Life – Post-Production & Review

After the event, our skilled editors get to work:

  • Crafting Your Story: We meticulously review the footage and piece together the narrative, whether it's an energetic highlight reel or a comprehensive recording.  

  • Professional Editing: This includes colour correction, audio mixing, adding licensed music, and incorporating any requested graphics or branding.  

  • Review Process: We'll send you a draft version of the main video(s) (e.g., the highlight reel) for your feedback via an easy-to-use online platform. We include a set number of revisions to ensure you're completely happy.  

Step 6: Your Videos Delivered!

Once you've approved the final edits, we'll:

  • Deliver High-Quality Files: Provide you with the final video files in the agreed-upon formats (e.g., HD, 4K) suitable for web, social media, or internal use.  

  • Easy Transfer: Send the files via a simple online transfer method (like WeTransfer or a dedicated online gallery).  

  • Ensure Your Satisfaction: We're only happy once you're happy with the final product!
